1. Who we are
This Privacy Policy describes how Reach Referral Hub LLC ("ReACH," "we," "us," "our") collects, uses, and protects personal information when you visit our website at reach.teamwpr.com (the "Site") or use our referral platform (the "Service"). ReACH is a Texas Limited Function Referral Office (LFRO) brokerage operating in partnership with White Picket Realty.
By using the Site or Service, you agree to the terms of this Privacy Policy.
2. What we collect
2.1 Information you provide directly
When you interact with ReACH, we collect:
- Account information: name, email address, phone number, password (encrypted), Texas real estate license status and license number (when applicable).
- Lead-magnet form submissions: name, email, phone number, and your selected "current situation" (e.g., part-time agent, service pro, unlicensed).
- Referral submissions: for each referral you submit, we collect the prospective client's name, phone number, email address, referral type (buyer/seller/both/rental/commercial), property area, estimated price, and notes you provide. This is third-party data you choose to provide to us; you represent that you have permission to share it.
- Payment information: when you pay your membership fee or down payment, you provide payment details directly to our payment processor (Stripe). We do not store or have access to your full credit card number, CVV, or bank account number.
- Communications: emails, support messages, and any other correspondence you send to us.
2.2 Information collected automatically
- Device and usage data: IP address, browser type, device type, pages visited, time spent, referring URL.
- Authentication tokens: session tokens to keep you logged into your agent dashboard.
2.3 Information from third parties
If a referral you submit closes, we may receive information from our partner brokerage (White Picket Realty) about the transaction, including sale price, closing date, and commission amount, to calculate your referral payout.
3. How we use your data
We use your information to:
- Create and maintain your ReACH agent account, including license status and wallet ledger.
- Process payments and track outstanding balances for interim memberships.
- Match the referrals you submit with a qualified agent at White Picket Realty.
- Send you transactional emails (welcome, referral confirmations, status updates, payout notifications, password resets).
- Communicate with you about your account, our services, or important changes.
- Provide customer support.
- Calculate, track, and pay referral commissions owed to you.
- Comply with our legal obligations, including those imposed by the Texas Real Estate Commission (TREC).
- Detect and prevent fraud, abuse, and security incidents.
- Send marketing communications about ReACH (you can opt out of these at any time).
4. Who we share it with
We share your information only with the following categories of third parties:
4.1 Our partner brokerage
White Picket Realty receives the referral information you submit (client name, contact, type, notes) so a qualified WPR agent can serve your referred client. WPR is bound by separate agreements that protect referral data.
4.2 Service providers
We use the following third-party platforms to operate the Service. Each is bound by its own privacy policy and security commitments:
- Supabase (database and authentication) — stores your account, referrals, and wallet ledger.
- Stripe (payment processing) — processes your $100 down payment or annual membership fee.
- EmailJS (transactional email delivery) — sends Playbook, confirmation, and welcome emails.
- Google Workspace (our internal email infrastructure for ops alerts).
- Vercel (web hosting).
- Calendly (scheduling intro calls, if you book one).
4.3 Legal requirements
We may disclose your information if required by law, court order, subpoena, or regulatory authority (including TREC), or to enforce our Terms of Service or protect the rights, safety, or property of ReACH, our users, or others.
4.4 Business transfers
If ReACH is acquired, merged, or sells substantially all of its assets, your information may be transferred to the acquiring entity, subject to terms consistent with this Privacy Policy.
4.5 What we do NOT do
We do not sell your personal information. We do not share it with advertisers or data brokers. We do not use your referral submission data to market real estate services directly to your referred clients outside of the agent matching process.
5. How long we keep it
- Account data: for as long as your ReACH membership is active, plus 7 years thereafter to comply with brokerage record-keeping requirements under Texas law.
- Referral data: for at least 4 years after the referral closes (or 4 years after submission if it never closes), as required by TREC.
- Lead-magnet submissions: up to 24 months from collection, unless you become a member (in which case retained as account data).
- Payment records: 7 years for tax and accounting purposes.
You may request earlier deletion of your data (see Section 6), subject to our legal obligation to retain certain records.
6. Your rights and choices
You have the right to:
- Access: request a copy of the personal information we hold about you.
- Correct: ask us to update inaccurate or incomplete information.
- Delete: request deletion of your data, subject to legal retention requirements (see Section 5).
- Opt out of marketing: click "unsubscribe" in any marketing email, or contact us directly. Transactional emails (account, referrals, payouts) cannot be opted out of while you are an active member.
- Withdraw consent: for any processing based on your consent.

7. How we protect your data
We take security seriously and use industry-standard measures including:
- Encryption in transit (HTTPS/TLS) for all data sent between your browser and our servers.
- Encryption at rest for data stored in Supabase.
- Row-level security policies ensuring you can only access your own data.
- Hashed passwords (we never store plaintext passwords).
- Limited internal access on a need-to-know basis.
- Payment data handled by PCI-compliant processors (Stripe).
No system is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security. If you suspect a security incident, contact us immediately.
8. California residents
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you certain rights including:
- The right to know what personal information we collect about you, how we use it, and who we share it with.
- The right to delete personal information we hold about you.
- The right not to be discriminated against for exercising your rights.
To exercise these rights, email joinreach@teamwpr.com. We do not "sell" personal information as defined by the CCPA.
9. Cookies and tracking
We use a minimal number of cookies and tokens to operate the Service:
- Essential cookies: authentication session tokens that keep you logged in.
- We do not currently use third-party analytics, advertising, or tracking cookies. If we add analytics tools in the future, this policy will be updated and we will provide notice.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. Material changes will be communicated to active members via email. Your continued use of the Service after changes take effect constitutes acceptance.
